The 7-Point Procurement Checklist I Run Before Ordering Any Rough Country Parts

I've been the procurement manager at a 12-person off-road shop for six years. Our annual parts budget sits around $120,000, and I've logged over $180,000 in cumulative orders in our cost tracking system. A lot of that money went to Rough Country components: lift kits, control arms, bumpers, and the occasional set of power running boards.

This checklist is for shop owners, distributors, and fleet managers who buy off-road components in volume. If you're ordering a one-off kit for your personal Jeep, most of it still applies—but I've written it from a B2B purchasing angle.

Seven steps. I run them in this order every time.

Step 1: Verify the exact vehicle spec—not just the model name

In my first year, I made the classic specification error. A customer asked for a Jeep JK rear bumper, and I ordered the two-door version. Their JK was a four-door Unlimited. The bumper bolted on but sat visibly wrong, and the customer rejected it. That was a $600 redo, plus the freight.

Rough Country's fitment coverage for the Jeep JK is broad—they catalog parts for 2007–2018 Wranglers. But you need to know: two-door or four-door, which trim, and whether the truck still sits at factory suspension height. If it's already leveled by two inches, the bump stop spacing changes. The product page's compatibility table matters more than the headline "JK" tag.

Rule: before you add anything to the cart, write down the last eight characters of the VIN. If the fitment chart doesn't have a column for your exact trim, call the vendor. Not every JK part fits every JK.

Step 2: Pull the full product info sheet before you order

For the Rough Country power running boards we install on Jeeps and trucks, the product info document is everything. When a spec sheet says "weight capacity," check whether it's per side or total. Rough Country lists their running boards with a per-side rating; I've seen competitors quote total capacity that reads bigger at a glance.

Here's a communication failure I learned from the hard way: I told a vendor I wanted their "standard kit." They heard "standard duty." What showed up was the lightweight version, rated 250 lbs per side instead of the 350-lb unit we'd spec'd for an armor-plated customer truck. Same word, two very different SKUs. Now I read the model number out loud and confirm the PDF revision date on the spec sheet.

Before I order a batch of running boards, I verify:

  • Static load rating per side
  • Motor IP rating—IP67 is the benchmark for under-vehicle exposure
  • Wiring harness compatibility with the vehicle's existing power bus
  • Warranty term, and whether labor is covered or just the part

That last line has saved us more than once. A warranty that covers only the part gets expensive fast when the install is two hours of shop time.

Step 3: Confirm your shop floor has the right lifting gear

You cannot install a 4-inch lift kit with the factory scissor jack under the spare tire. I'm not saying it's impossible. I'm saying don't try it.

Here are the floor jack types we keep in our shop:

  • Low-profile floor jack, 2-ton or 3-ton. For stock-height and slightly lowered vehicles. Saddle height matters—a stock Jeep works fine with a standard floor jack, but a lowered Silverado needs the low-profile version.
  • Bottle jack. Compact and tall lift range, good for frame work. Not as stable as a floor jack for side lifting, so we always pair it with stands.
  • Heavy-duty jack stands. Rated at 50% over your vehicle's weight. We run 6-ton stands under a 5,000-lb truck.
  • Hi-lift farm jack. For off-road recovery and uneven-ground leveling, not for routine shop work.

From a cost angle: buying a 3-ton low-profile floor jack cost us $380 in 2024. It saved roughly two hours of labor per lift kit install, because we stopped wrestling bottle jacks into position. At our $95/hour shop rate, it paid for itself in under two installs.

Step 4: Budget for the safety tech that protects the fleet

This is the step most buyers skip. They price the lift kit, the wheels, the winch—then forget the cameras and sensors that prevent liability claims.

For fleet vehicles, a dashcam with parking sensor coverage is not optional in my book. Parking mode draws battery, so budget for a hardwire kit with low-voltage cutoff. We standardized on a dual-channel unit with collision detection; it documents backing incidents and hit-and-run claims. Since we rolled it out in 2025, it's saved us at least one $800 insurance deductible per quarter.

And if a customer asks why backup cameras are everywhere now—it's not just convenience. NHTSA's FMVSS 111 rear-visibility rule, phased in starting 2016, required every light vehicle sold in the U.S. after May 2018 to include a camera. The first production car with one? The 1991 Toyota Soarer, sold in Japan. North America got it on the 2002 Infiniti QX4. That history is useful when someone argues a camera retrofit is "non-standard." It's standard enough that NHTSA mandates it.

Step 5: Calculate total cost of ownership, not unit price

I almost signed a $4,200 annual contract with a vendor who undercut our incumbent by 15%. Then I ran the TCO. The new vendor charged extra for freight, warranty return handling, and a $200 annual account fee. The 15% discount vanished.

I'm not saying the low-priced vendor is always a trap. I'm saying do the math. For Rough Country orders specifically, factor in shipping from their distribution center, brokerage fees if you're cross-border, and the labor hours if a kit requires more cutting than another brand's equivalent. I checked current catalog pricing as of Q1 2026—day rates shift, so verify before quoting a customer.

Our TCO template: (unit price + freight + customs + tooling hours ÷ expected order count) × 1.05 for return risk. That 5% buffer has absorbed more surprise fees than I care to count.

Step 6: Log every order in your procurement system

Six years ago, our budget overruns were a mystery. After tracking every invoice, I found that 60% of our overruns came from freight deltas—vendors quoted ground, but we expedited air to hit a deadline. We implemented a policy: no expedite without a written manager sign-off. Overruns dropped by roughly a third.

Record the model number, vehicle application, unit price, and ship date. Future you will thank present you when a warranty claim shows up by VIN.

Step 7: Schedule the post-install inspection before the parts arrive

We book the inspection slot the same day we place the order. On install day, the checklist runs: torque verification on every suspension bolt, running board extension/retraction cycle test—10 full cycles—waterproof connector check, and a test drive with the parking assist active. That catches loose harness routing before it becomes a customer complaint.

Skipping this step is how a clean install turns into a callback two weeks later.

Things I still see buyers get wrong

- Ordering by model name instead of VIN. "Jeep JK" alone doesn't tell you if it's a two-door or a four-door.

- Trusting screen-printed spec sheets over the actual PDF. Screenshots lie; revision dates don't.

- Buying one jack type and assuming it suits every vehicle on the hoist.

My experience is based on U.S. mid-size shop operations—12 mechanics, regional distribution, mostly domestic vehicles. If you're running a large import/export operation or a dealer network, your tax, freight, and liability variables will differ. The principles hold; the numbers won't.

Look, the real cost of a Rough Country order is not its price tag. It's the fitment error, the tooling gap, the compliance unknown, and the communication failure you haven't caught yet. Seven steps. They've saved us far more than they cost.
